Glossary
Every Specbook term in one place, alphabetised.
Archived
A project status that hides the project from the default project list. Archived projects still exist, audit log intact, exports preserved. Edits require a change reason. Reversible (with a reason).
Attachment
An image file attached to a spec item. Up to 10 per item, 10 MB each, in PNG, JPEG, WebP, GIF, or AVIF. See attachments.
Audit log
The append-only history of every meaningful change in the workspace. See audit log.
Catalogue
The shared autocomplete library, brands, models, colours, finishes, sizes, that powers many fields on spec items. See catalogue.
Category
A spec area (Plumbing, Cabinets, Landscaping, …). Specbook ships 20 categories. Each has a default scope and a fixed schema. See categories overview.
Change reason
A short text explanation required when editing a completed sheet or a finalised / archived project. Stored in the audit log. See change reasons.
Classification
A per-item label like standard, upgrade, not standard, N/A. Open-ended, you can type any classification.
Column
A field on a spec item. Standard columns ship with the category; custom columns are added per project. See columns.
Comments
Per-item discussion threads in the right rail of the sheet editor. Internal-only, not exported. See comments.
Completed sheet
A spec sheet that's been marked complete by a user. Locks the sheet, further edits require a change reason. Reversible via reopen.
Customer-shown
A per-sheet flag controlling whether the sheet appears in the public preview.
Decision-maker notes
The free-text panel at the top of every sheet, intended for context that applies to the whole sheet. Exported with the workbook.
Draft
The default project status. Free editing; nothing locked.
Duplicate (a project)
Cloning an entire project, including units, sheets, items, attachments, and column setup. The new project starts in Draft. See duplicate a project.
Export
A generated Excel workbook (Miivo or legacy). Versioned, timestamped, immutable. See Miivo workbook export.
Finalised
A project status meaning sign-off is committed. Edits to any sheet require a change reason.
Group
A section within a sheet, Master Bathroom, Powder Room, Main Kitchen. Free-form: rename, reorder, add, delete.
In review
A project status meaning the customer is reviewing decisions. Editable; mostly a signal, no behaviour change vs Draft.
Item
One line on a spec sheet, a Sink, a Faucet, a Toilet. Has a name, classification, notes, attribute values, attachments, and a comment thread.
Locked
A spec sheet whose edits require a change reason. A sheet is locked when it's completed or when its project is finalised / archived.
Member
A workspace user. Three roles: Owner, Admin, and Viewer. See roles and permissions.
Miivo workbook
The polished Excel export, programmatically generated, professional cover, embedded images. See Miivo workbook export.
Notes
Three different notes places: project-wide, per-sheet (decision-maker notes), and per-item (Notes column). All exported. See notes.
Per-project (scope)
A category whose sheets exist once per project, regardless of unit count. See per-project vs per-unit.
Per-unit (scope)
A category whose sheets exist once per unit. See per-project vs per-unit.
Project
One build. Has a name, address, customer, units, and spec sheets. See projects and units.
Public preview
The read-only view of a project that opens when someone uses a share link. See public preview.
Reopen
Take a completed sheet back to editable state. Requires a reason. See reopen a sheet.
Scope (of a category)
Either per-project or per-unit, see per-project vs per-unit. Convertible per project.
Share link
A token-based URL giving read-only project access to anyone with it. Permissions and expiration are configurable per link. See share links.
Sheet (spec sheet)
The central artifact, the document users fill out per category per scope. See spec sheets.
Soft delete
A project that's been hidden entirely. Recoverable by an admin. Stronger than archive. See soft delete.
Stage
A grouping of categories on the project dashboard, Structural, Mechanical, Finishes, Fixtures, Outdoor.
Standard library
The seeded set of templates that ship with the workspace. See standard library.
Status
The lifecycle stage of a project: Draft, In review, Finalised, Archived. See statuses and lifecycle.
Template
A reusable starting point for new projects. Captures structure, columns, and items, not images. See templates.
Unit
A dwelling within a project. Independent per-unit sheets attach here. See projects and units.
Workspace
The single Specbook container that holds all projects, members, the catalogue, and the audit log. In this deployment, there's only one, Noura Homes. See workspace overview.
